Email Invitations

Email invitations let you reach specific people with a personal link to your survey. Each recipient gets their own unique URL, so you can track who has responded without asking them to identify themselves in the survey itself.

Managing Contact Lists

Contact lists are reusable groups of email addresses (with optional names) that you can send to again and again. You can have personal lists for yourself or team-scoped lists shared with a team.

Accessing Contact Lists

Open the user menu by clicking your avatar or name in the dashboard header, then choose Contacts. This brings you to your contact list manager.

Creating a List

Click New List and give the list a name. You can add contacts in three ways:

  • Bulk paste — Enter contacts in email, name format, one per line. The name is optional; if you leave it out, just paste the email address on its own.
  • Single entry — Type one email at a time and optionally add a display name.

Once saved, the list is available whenever you send invitations.

Editing a List

Open any list to:

  • Rename the list
  • Add more contacts — paste or type additional entries at any time
  • Edit a contact’s name — click a contact to update their display name
  • Remove a contact — delete individual entries without affecting the rest of the list

Deleting a List

Open the list and choose Delete List. This removes the list permanently. It does not affect invitations that were already sent using that list.

Team Contact Lists

When you are working in a team, you can create contact lists scoped to that team. Team lists appear under the Contacts tab on the team page (accessible from the team Members or Settings page) and are visible to all team members with the appropriate permissions.


Sending Invitations

Invitations can only be sent to surveys that are already published. You can open the invitation flow from three places:

  • The Invitations tab in the survey side navigation (when viewing a survey)
  • The Send Invitations option in the survey card’s dropdown menu on the dashboard
  • The Send Email Invitations button on the publish success page, immediately after publishing

Step 1 — Choose Recipients

Select how you want to add your recipients:

  • Contact List — Pick one of your saved lists (personal or team). All contacts in the list are added as recipients.
  • CSV — Paste data in email, name format directly into the text area, one entry per line. Names are optional.
  • Manual — Type email addresses one by one.

At the bottom of this step you have the option to save your recipients as a new contact list. Give the list a name and it will be available for future campaigns.

Step 2 — Compose the Email

Write the message your recipients will receive:

  • Subject line — Defaults to “You’re invited to take a survey”. Edit this to match your tone or topic.
  • Message body — Write whatever context helps recipients understand why they are being asked. Use the placeholders below to personalize each message automatically.

Personalization placeholders

Step 3 — Review and Send

You will see a summary showing the total number of recipients. Review everything and click Send to dispatch the invitations. Each recipient receives their own email with their unique personalized link.


Tracking Responses

After sending, open the Invitations tab on the survey to see how the campaign is performing:

  • Total sent — the number of invitations dispatched
  • Responded — recipients who clicked their unique link and completed the survey
  • Pending — recipients who have not yet responded

Response tracking is automatic. When a recipient follows their personalized link and completes the survey, they are marked as responded with no extra steps required on your end.
