Managing Team Members

Manage who has access to your team and their surveys. Invite new members, change roles, and remove members when needed.

Inviting Members

How to Invite

  1. Go to your Team Settings page
  2. Click “Invite Member”
  3. Enter the person’s email address
  4. Select their role
  5. Click “Send Invite”

Invitation Process

When you send an invite:

  1. Email Sent - Invitee receives invitation email
  2. Accept Invite - They click the link to accept
  3. Account Creation - If new to SurveyReflex, they create an account
  4. Team Access - They gain access to team surveys

Pending Invitations

View and manage pending invites:

  • See who hasn’t accepted yet
  • Resend invitation if needed
  • Cancel pending invitations

Members List

The team members page shows:

Member Details

Click on a member to see:

  • Full profile information
  • Their role and permissions
  • Surveys they’ve created
  • Activity history

Changing Member Roles

How to Change Roles

  1. Find the member in the list
  2. Click the role dropdown or edit button
  3. Select the new role
  4. Confirm the change

Available Roles

OwnerFull control, billing, can delete team
AdminManage members, all survey access
MemberCreate and access team surveys

Role Change Restrictions

  • Only Owners can change roles
  • Cannot demote the last Owner
  • Admins cannot promote to Owner

Removing Members

How to Remove

  1. Find the member in the list
  2. Click the remove or trash icon
  3. Confirm the removal

What Happens When Removed

  • Member loses access to team immediately
  • Their created surveys remain with the team
  • They can no longer view team results
  • Personal surveys are not affected

Removal Restrictions

  • Cannot remove the Owner
  • Only Owners and Admins can remove members
  • Admins cannot remove other Admins

Transferring Ownership

When to Transfer

  • Leaving the organization
  • Changing responsibilities
  • Reorganizing team structure

How to Transfer

  1. Go to Team Settings
  2. Click “Transfer Ownership”
  3. Select the new Owner
  4. Confirm with your password

After Transfer

  • You become an Admin
  • New Owner has full control
  • All settings preserved

Member Notifications

Email Notifications

Team members receive emails for:

  • Invitation to join team
  • Role changes
  • Removal from team
  • New survey shared

In-App Notifications

Members see notifications for:

  • New team surveys
  • Survey updates
  • Team changes

Best Practices

Regular Reviews

  • Audit team membership quarterly
  • Remove inactive members
  • Update roles as responsibilities change

Security

  • Remove members who leave organization
  • Use appropriate roles (principle of least privilege)
  • Monitor team activity

Communication

  • Inform members of role changes
  • Explain team expectations
  • Share team guidelines

Troubleshooting

Invitation Not Received

  • Check spam/junk folder
  • Verify email address is correct
  • Resend the invitation
  • Try a different email address

Cannot Change Role

  • Verify you have Owner permissions
  • Check you’re not demoting the last Owner
  • Refresh the page and try again

Member Can’t Access Surveys

  • Verify their role has appropriate permissions
  • Check the survey is shared with the team
  • Have them log out and back in
