Team Roles & Permissions

Team roles control what members can do within your team. Understanding roles helps you assign appropriate permissions.

Role Overview

SurveyReflex teams have three roles:

Role Details

Owner

The team creator automatically becomes the Owner.

Responsibilities:

  • Ultimate control over team
  • Manage billing and subscription
  • Can transfer ownership
  • Can delete the team

Restrictions:

  • Only one Owner per team
  • Cannot be removed
  • Must transfer ownership before leaving

Owner permissions Owner has full control

Admin

Admins help manage the team day-to-day.

Responsibilities:

  • Invite and remove Members
  • Manage all team surveys
  • Help maintain team organization

Restrictions:

  • Cannot manage billing
  • Cannot change other Admins’ roles
  • Cannot delete the team

Best For:

  • Team leads
  • Department managers
  • Project coordinators

Admin permissions Admin manages team operations

Member

Standard team members who create and collaborate.

Responsibilities:

  • Create surveys for the team
  • Manage their own surveys
  • View team survey results

Restrictions:

  • Cannot invite or remove users
  • Cannot edit others’ surveys
  • Cannot access team settings

Best For:

  • Team contributors
  • Survey creators
  • Data analysts

Member permissions Member creates and views surveys

Choosing the Right Role

Use Owner For

  • Primary account holder
  • Person responsible for billing
  • Team creator/leader

Use Admin For

  • Team managers needing broad access
  • People who manage multiple team members
  • Trusted team leads

Use Member For

  • Regular team contributors
  • Survey creators
  • Anyone who needs view access

Role Best Practices

Principle of Least Privilege

Assign the minimum role needed:

  • Don’t make everyone an Admin
  • Use Member role by default
  • Promote only when necessary

Regular Audits

Review roles periodically:

  • Check Admin list is current
  • Ensure departed staff are removed
  • Adjust roles as responsibilities change

Documentation

Keep records of:

  • Why each person has their role
  • Who approved role changes
  • When roles were last reviewed

Common Scenarios

New Team Member Joining

  1. Invite as Member by default
  2. Evaluate their needs over time
  3. Promote to Admin if needed

Project Lead Needs More Access

  1. Change their role to Admin
  2. They can now manage surveys and members
  3. Still cannot access billing

Owner Leaving Organization

  1. Owner transfers ownership to successor
  2. Previous Owner becomes Admin
  3. New Owner manages billing

Temporary Access Needed

  1. Invite as Member
  2. They complete their work
  3. Remove from team when done

Troubleshooting Permissions

”Permission Denied” Errors

  • Verify user’s current role
  • Check if the action requires higher role
  • Contact team Owner for role change

Can’t Perform Admin Action

  • Confirm you have Admin or Owner role
  • Some actions are Owner-only
  • Try logging out and back in

Billing Access Issues

  • Only Owner can access billing
  • Request Owner to make changes
  • Or request ownership transfer
